Colvin Center Meeting Room Use

External Meetings

ProLiteracy’s training rooms are available for use by nonprofit and community-based organizations, commercial events, and private parties.

  • Rooms must be reserved at least one week in advance; all reservations are subject to availability of space and appropriate staffing.
  • During regular business hours, meeting attendance is limited to 40 people.

To request to use a conference room please complete the Meeting Room Request Form. If you are unable to complete this form online or need assistance, please contact Stephanie Meyer, administrative assistant, at (315) 422-9121.

Meeting Chair/Organizer Responsibilities

  • The meeting chair/organizer must arrive at least 15 minutes prior to the meeting in order to finalize room setup.
  • The meeting chair/organizer is responsible for ensuring that all guests sign in at ProLiteracy’s reception desk or for collecting attendance information and providing it to ProLiteracy’s receptionist (for groups larger than 15).
  • The meeting chair/organizer is responsible for leaving the room in an orderly manner. ProLiteracy will provide cleaning for all catered meetings for a $30 fee.

Cancellations

  • If your organization needs to cancel an event, please notify ProLiteracy at least five days before the reserved date.
  • ProLiteracy reserves the right to cancel reservations at any time. In the unlikely event that we do cancel, we will contact the meeting chair/organizer as far in advance as possible so that other arrangements may be made.

Each training room includes the following:

  • A white board easel with white board markers (participants may also bring in their own flip charts for use with the easel)
  • An interactive projector and Internet-equipped computer with wireless mouse and keyboard and audio speakers (Instructions for use are provided in the room. On-site technical support is available but may result in additional charges)
  • A conference phone
  • Task tables and chairs
  • Tables for food/beverage and handouts
  • Free access to public wi-fi

A registration table and podium are also available by request.

U-Shaped Room Setup Short

U-SHAPE

Multiple rectangular tables arranged in a large U with open space in the middle. Participants are seated around the outside facing towards the center of the U.

Theater Sty;e Room Setup

THEATER

Rows of chairs (no tables) arranged with all participants facing towards the front of the room. This setup generally has one center and two side aisles.

Boardroom Shaped Room Setup Short

CONFERENCE BOARDROOM

Multiple rectangular tables arranged together in the center of the room to create a single large table space.

ProLiteracy does not provide the following:

  • Paper products and  catering supplies including food and beverages
  • Food preparation, catering, bartenders, a liquor license, or reception services
  • Writing utensils, notepads, and photocopies
  • Guaranteed off-street parking
